How Ontario Lease Form collects, uses, retains, and protects the personal information handled as part of the service.

Retention and destruction

If you download the free PDF, the server copy of your agreement is scheduled for deletion after 30 days. A draft in progress stays in your own browser, not in our systems, for up to 30 days and can be cleared from the form. Your email address and a basic delivery record may be kept after the agreement itself is deleted, to operate the service.

If you use electronic signature, the signed agreement, signature evidence such as timestamps and one-way hashes derived from IP addresses, and the payment and signing records are kept so the parties retain access to their signed lease and its proof of signing, and to meet our legal obligations.

Information we collect

  • identification and contact information you enter, such as names, emails, and phone numbers;
  • information required to fill out the tenancy agreement, such as the rental address, rent amount, deposits, and term;
  • in the electronic signature service, signatures, technical logs, one-way hashes derived from IP addresses, and timestamps required as proof of signing;
  • basic technical information necessary for the operation and security of the service.

Why we collect it

  • generate your Ontario standard lease as a PDF;
  • send you service-related emails, such as agreement delivery or an invitation to sign;
  • process a payment if you choose electronic signature;
  • ensure security, prevent abuse, and comply with our legal obligations.

Disclosure to service providers

We may disclose some personal information to providers who help us operate the service, for example for hosting, email delivery, payment processing, temporary file storage, or electronic signature. This information is limited to what is necessary for their mandate.

Lease and form data is processed and stored in Canada. Some providers, used for payment processing, email delivery, and usage and error telemetry, operate outside Canada. Telemetry is scrubbed of lease content, signing links, and payment credentials before it is sent, and we do not record your session.

Security measures

We apply reasonable security measures proportionate to the sensitivity of the information, including encryption in transit, access controls, secret management, purge mechanisms, and the logging necessary for service security.

Your rights

  • request access to the personal information we hold about you;
  • request the correction of inaccurate or incomplete information;
  • ask a question or file a complaint about our privacy practices.

Technologies used

The site uses basic technologies necessary for its operation, including the browser’s local storage to temporarily keep your answers on your own device while you fill out the agreement.
